Ion Water has a wealth of experience in managing, servicing and maintaining water services for a wide variety of customers, from international financial institutions, hospitals and leading property organisations.

Founded in 1996, Ion has been synonymous with water and environmental management and provides consultancy, management, administration, supervision, planning, operation, servicing and repair of all water and environmental services associated with buildings and properties.

We asked Managing Director Paul Harris his thoughts on iQ so far:

What prompted Ion to look at iQ?

“Ion always moves forward and has grown to dominate our market by quality of service and service innovation. We knew we needed to create more value for our clients and introduce more process
efficiency throughout the company.

We had looked for a solution but nothing had really met our requirements, because we wanted a system that would adapt to Ion rather than the other way around.”

Why did you buy an iQ system?

“After attending a Scottish Enterprise seminar where Quarterback were presenting we talked to Craig and Owen and immediately thought that a version of iQ customised to our needs would benefit us greatly.

We could become almost paperless, schedule with an electronic whiteboard, offer an electronic log book to our clients and reconcile over a thousand service visits a month.

Our site paperwork could be available to clients online and so create associated benefits; reducing time spent creating reports and producing sample certificates. It was an easy choice.”

What are the benefits?

“We have seen many benefits so far including the creation of an electronic log book which enables all of our clients to securely access their site documents online through a internet portal website.

Quarterback have built Ion an easy to use database system to store and send electronic certificates for legIonella sampling.

They also built a bespoke online quote generator and for us have successfully produced a way to repeat schedule our L8 site visit planners.

The online log books are a fantastic marketing tool for Ion which will help us grow our business, because we are leading the way within our industry and our competitors do not have this capability.”

Implementation and training?

“Excellent, they worked with us and the benefits were immediate - at every stage Quarterback’s iQ system has added value to our company and enabled us to extend the benefits to our clients.”

How will iQ help Ion in the future?

“We are moving to equip all our operatives with iQ handheld PDA jobbooks, which will enhance the electronic log books and greatly reduce the daily paperwork and administration of our business.”

scheduling electronic whiteboardThe planning of repeat and single visits for remedial works is central to the way Ion’s iQ system operates. Using a specifically adapted iQ Quote Builder module, the sophisticated L8 planner allows allocation of operatives on specific dates, to carry out a range of tasks, scheduled over the contract duration as a block booking.

This is visually represented as an online visual whiteboard showing all work, enabling best use of resources to meet client requirements.

The L8 planner Whiteboard has enabled the transfer of all Ion service contracts from paper files to a secure database, providing more efficient management of contracts and job costs.

Quote Builder

quote builderThe heart of Ion’s business is the ability to build quotes electronically for work based around common tasks, with ad-hoc tasks added as required. IQ provides an extensive online quotation builder with complex functionality simplified within a simple user interface.

This allows Ion to generate standardised quote documents quickly based on client requirements either on-site via the internet or back at the office.

New versions of quotes can easily accommodate changes and all sent quotes are linked in with IQ’s document management structure.

Sample Tracking Database

sample trackingThis new IQ module replicates Ion’s spreadsheet system with a database driven facility, with automatic certificate creation and delivery to clients via email.

This module has generated significant advantages in time savings and cost reduction.

‘It would not be possible to go back to the old way of completing samples, this has totally changed the way we work and our clients receive a much faster service.’

Jobsheet Storage

signed off worksheetAs each day’s tasks are completed, the signed jobsheets are scanned into iQ against the allocated visit and tasks are identified as complete and regular checks are recorded with locations and temperatures.

The online jobsheets are presented with other information relating to client sites on the Ion portal, which will in time replace the requirement to maintain on-site folders for many clients.

This will lead to significant efficiency for Ion and their clients, a reduction in paper consumption and, in some cases, compliance with government guidelines on the use of electronic documentation.

Extranet Service Book Portal

client extranet access portalThis facility enables Ion with a unique facility to provide a complete online service book to clients who would prefer to view their site documentation online at any time.

This module allows an easy user interface and accessibility, without duplication of effort, with high security and user authentication controlled by Ion staff.

Document Management

document managementAll Ion business documentation is logged against the relevant client site and contact.

This secure online filing cabinet reduces storage cost, is a means of disaster recovery and makes it easy to access company information from anywhere.
